How to Get an MCA Payoff Letter and Calculate Your Remaining Balance
A merchant cash advance does not have a balance you can read off a statement. You bought a fixed purchase amount, you are remitting toward it daily or weekly, and the only figure that settles the account is the one the funder puts in writing. This guide explains how to request a payoff letter, what has to be on it, how to work out what you still owe before it arrives, when an early payoff discount applies, and how the payoff number drives a refinance or a buyout.
How Do You Get a Payoff Letter for a Merchant Cash Advance?
Email or call the funder’s servicing or payoff department (the contact is in your agreement) and ask for a written payoff letter with a good-through date. A proper letter states the original purchase amount, the total remitted to date, the remaining balance, any early payoff discount and the date it expires, per-diem or per-remittance accrual if any, outstanding fees, and wire instructions. Most funders turn it around in one to three business days; a new funder arranging a buyout usually requests it for you. Until it arrives, estimate the balance as the total payback in your contract minus every remittance debited so far, then subtract any early payoff discount the agreement actually promises.
What a Payoff Letter Is, and Why the Balance Is Not on Your Statement
An advance is a purchase of future receivables: you received a funded amount, agreed to deliver a fixed total (the funded amount times the factor rate), and remit a fixed daily or weekly amount, or a percentage of card sales, until that total is delivered. There is no amortization schedule and no interest accruing day by day, so your bank statement only shows the debits that have left the account. The payoff letter is the funder’s binding statement of what remains, and it is what a new lender, a buyer of the business or your own bookkeeper needs. On a merchant cash advance the total payback is fixed at signing, which is also why paying early does not automatically save money.
How to Request a Payoff Letter in 5 Steps
- Find the servicing contact in your agreement or on the funder’s portal. Ask for a written payoff letter, not a verbal balance.
- State the date you intend to pay, since many letters are good through a date and some funders quote a discount that only applies if funds arrive by then.
- Ask the letter to show: original funded amount, total purchase amount, amount remitted to date, remaining balance, early payoff discount (if any) and its expiry, outstanding fees, and wire instructions.
- Check it against your own count of debits (next section). Query any difference before you wire.
- If a new funder is paying it off, send the letter to them unaltered; they wire the funder directly and collect a zero-balance confirmation.
Keep every letter. If you later refinance, the new lender will want the payoff letter and the zero-balance or satisfaction letter that follows it; a filed UCC lien is released on the strength of those documents. See UCC filings on business loans.
How to Calculate What You Still Owe Before the Letter Arrives
Three numbers from your contract do the work: the funded amount, the factor rate, and the fixed remittance.
| Step | Illustration ($100,000 advance, factor 1.30, $650 daily) | Result |
|---|---|---|
| Total payback | $100,000 × 1.30 | $130,000 |
| Remitted so far | 120 business days × $650 | $78,000 |
| Remaining balance | $130,000 − $78,000 | $52,000 |
| Remittances left | $52,000 ÷ $650 | 80 business days (about 16 weeks) |
| Early payoff discount, if the agreement grants one | Example: 10% off the remaining balance if paid within the window | $52,000 − $5,200 = $46,800 |
Illustrative arithmetic, not a quote. Two things make the real figure differ: fees added after default or a bounced debit, and the fact that many agreements grant no discount at all, so the early payoff is simply the remaining balance. If your remittance is a percentage of card sales rather than a fixed amount, use the funder’s portal total, because the number of remaining days depends on sales. The merchant cash advance payoff calculator runs these numbers for one or several positions.
Early Payoff Discounts: When They Exist and What They Are Worth
- Not automatic. A discount applies only if the purchase agreement or a side letter grants it. Read the prepayment or early-delivery clause before assuming one.
- Usually time-limited. Typical structures reduce the total payback if the balance is delivered within a stated number of days from funding, or quote a reduced buy-out figure good through a date.
- Worth the most early. Because the total is fixed, the earlier you deliver it the higher the effective annual cost of the money you did use; a discount offsets part of that. Paying off in the last few weeks rarely changes the economics.
- Renewals are not payoffs. A renewal nets the remaining balance out of the new advance; the old balance is paid with new, more expensive money. That is different from a payoff you fund from cash or a term loan.

Using the Payoff Figure to Refinance or Buy Out the Advance
The payoff letter sets the size of any refinance. A buyout lender wires the payoff amounts directly to each existing funder, collects the zero-balance letters and replaces the daily debits with one weekly or monthly payment on a term structure; the trade-off is a new cost of capital on the whole balance, so compare the total you will repay, not just the payment. A reverse consolidation leaves the advances running and deposits money weekly to cover them, which suits a shorter remaining term. Under the SBA’s SOP 50 10 8.1 (1 October 2026), an SBA loan can refinance an advance only after it has been converted to a term loan that has amortized for at least 24 months with no new sales-based agreements since. Common Questions
How long does a payoff letter take?
Usually one to three business days from the funder’s servicing team. Ask for a letter with a good-through date so the figure does not move while funds are in transit.
Is the payoff amount the same as my remaining balance?
Often, but not always. The payoff can be lower if the agreement grants an early-delivery discount, or higher if default fees, bounced-debit fees or legal costs have been added. The letter is the binding figure.
Do I save money by paying off an MCA early?
Only if the agreement includes an early payoff discount, or if paying it off lets you replace it with cheaper money. The purchase amount is fixed, so without a discount you deliver the same total sooner.
Can a new lender request the payoff letter for me?
Yes. In a buyout the new funder typically requests the letters, wires the payoffs directly and collects the zero-balance confirmations, which is the clean way to close a position.
What if the funder will not issue a payoff letter?
Put the request in writing, cite the agreement’s payoff or reconciliation clause, and keep your own debit count. Several states’ commercial financing disclosure laws require the total repayment amount to be disclosed at signing, which gives you a documented starting figure.
What happens to the UCC filing after payoff?
The funder should file a UCC-3 termination within a reasonable time after the zero-balance letter. If it does not, you can request it in writing and, in most states, file the termination yourself under Article 9 if the secured party fails to respond.
Is RAN Funding a lender?
No. RAN Funding is a business financing broker. We present your application to the funders in our network that fit your profile and show you the approvals that come back; the funding partner you choose sets the terms. RAN Funding is paid by the lender, not by you.
